Position Overview

The Office & Sales Support Coordinator plays a central role in the daily operations of Expandable LLC USA. This position supports both the Managing Director and the Technical Support Manager by handling day-to-day administrative tasks, front office communication, and commercial support activities.

As one of two part-time coordinators, you will often be the first point of contact for customers and partners. You ensure smooth office operations, provide professional customer interaction, and contribute to business growth by supporting lead generation and initial sales outreach.

This role is ideal for someone who enjoys variety, customer interaction, and working in a small, growing, entrepreneurial organization.

Key Responsibilities

Office & Administrative Support

  • Handle daily administrative tasks including scheduling, documentation, basic invoicing support, and internal coordination
  • Support the Managing Director with non-core tasks, allowing focus on sales and strategic activities
  • Assist the Technical Support Manager with planning, coordination, and documentation
  • Maintain organized records and ensure efficient office workflows

Front Office & Customer Communication

  • Serve as the first point of contact via phone and email for customers, suppliers, and partners
  • Provide professional and accurate first-level information
  • Route inquiries efficiently to Sales or Technical Support when appropriate
  • Ensure a consistent, professional customer experience

Sales Support & Lead Development

  • Identify and research potential leads and market opportunities
  • Perform initial outreach and first contact acquisition in a professional manner
  • Qualify incoming leads before transferring them to Sales
  • Maintain lead and contact information in CRM systems
  • Assist with follow-up activities and sales documentation

Team Support & Coordination

  • Coordinate internally with sales, technical support, and operations
  • Act as a reliable support function in a small team environment
  • Proactively identify opportunities to improve processes and customer handling

Qualifications

Required

  • Associate or Bachelor’s degree in Business Administration, Sales, or a related field, or equivalent work experience
  • Experience in office support, administrative, customer service, or sales support roles
  • Strong verbal and written communication skills in English
  • Customer-focused mindset with a commercial attitude
  • Highly organized, accurate, and able to work independently
  • A flexible, hands on mentality within a small team.

Preferred

  • Experience with CRM systems or sales administration
  • Experience in a B2B environment
  • Familiarity with technical, industrial, or mobile equipment products
  • Proactive, hands-on, and self-starting attitude
